OUR PRE-CONSTRUCTION PROCESS

WHAT TO EXPECT

Our process of getting from the first meeting through to a completed project is accomplished through a series of 5 meetings. This process may seem lengthy, yet it is because of this length we are able to discuss in detail all aspects of the project. Taking this necessary time to get to know you and exactly what you are looking for, not only achieves a mutual understanding of the scope of work to be accomplished but will also form the foundation of a clear and well planned project that will allow for the whole job costs to be thoroughly explained and agreed upon BEFORE construction begins.

  • Meeting # 1 [Goals Of This Meeting]

    • We want to be sure all involved with making decisions about the project are present

    • We will discuss how we conduct our business/how we build and the process to move from the 1st meeting through a completed project.

    •We define the whole scope of work to be performed by listening to everything you would like to say about the project as well as asking a series of questions, which is to ensure we discuss the motivating factors behind the project and achieve a mutual understanding of all required aspects.

    • We will be discussing your Max Target Budget openly, which helps us ensure we are all heading in the same well-defined direction together through collaboration for a mutually beneficial outcome, where you get exactly what you expect for exactly what you expect to pay.

    • We will discuss your ideal timeline for the project

    • We will develop with you a guiding statement/context that expresses the motivations behind the project. This will become the driving force/focus point that will center the design/ proposal.

    If we are in agreement and you would like us to proceed, we have a Design Cost Analysis Agreement for you to sign. The Design Cost Analysis or (D.C.A.) is an extensive colonization of all aspects of the project and is the way we achieve a comprehensive project evaluation that describes the projects depth and total investment as a whole. There is a fee associated with this service of [5%] of the Max Target Budget for the project and will be due upon completion of the 1st meeting.

    The Design Cost Analysis fee will be applied in full to the final contract payment of the project if you ultimately choose White Mountain Timber Frame as your building company.

    (What to Expect After the 1st meeting)

    Using the information gathered from our first meeting along with a signed and paid for D.C. A. Agreement, we work on assembling all information needed, which includes the following;

    • Creation of shop drawings

    • A list of specifications/ scope of work

    • Material / component lists and developing a realistic project timeline / schedule along with compiling the estimated investment required for the projects completion.

    How we construct a D.C.A Agreement

    • We will create Sketchup shop drawings as required to accurately depict and clarify the scope of work to be performed. This may include floor plans as required, elevations as required, section drawings and or details, as required to define and clarify the list of specifications / scope of work.

    • We will create a list of specifications for the scope of work described in the plans and described by you in the information gathered from the first meeting.

    • We will create a list of specifications for any specialty trade subcontractors as required by the scope of work. We will use this list to obtain firm price quotations and schedules from our team of approved specialty trade subcontractors. We will work with them and the schedule they are able to accomplish, in order to coordinate our project schedule.

    • We will create a realistic timeline schedule for the scope of work to be performed.

    • We will create a detailed Material List / Component List for the scope of work to be performed and will use this list to obtain firm price quotations and availability / lead times from Material Suppliers, Sawyers, and Component Manufacturers.

    • We will create a list of rental equipment as required to accomplish the scope of work and we will establish a timeline/schedule and assemble any costs associated with the required equipment.

    •We will produce a list of possible selections for you to make in relation to the scope of work as described in our D.C.A. and will contain an explanation of the costs and effects that those choices have on the final project.

    All of the above is assembled into a D.C.A. and Includes;

    • A detailed explanation of the scope of work to be performed.

    • A list of Specifications describing the assembly in detail, including the materials / components to be used.

    • A List of Specifications/scope of work for any necessary Specialty Trade Subcontractor work to be performed.

    • A realistic timeline / schedule for the Project to follow.

    • And a Construction Proposal with the Investment required to accomplish the Project, presented as a Whole Job Cost.

    • White Mountain Timber Frame will present the projects Design Cost Analysis to you and review it with you in detail at MEETING #2.

    When the Design cost analysis is ready for review, we will schedule meeting #2

  • Meeting # 2 [Goals Of This Meeting]

    • We present you with the D.C.A. and go through it thoroughly together, discussing all aspects of the project until we have achieved a Mutual Understanding of the scope of the project and the projects cost.

    • We will review the D.C.A.’s detailed explanations of scope of work to be preformed and read through the list of Specifications describing in detail the assembly, along with the materials / components to be used as well as a List of Specifications/scope of work necessary for any Specialty Trade Subcontractor and a realistic timeline / schedule for the Project to follow.

    • We will present you with a Construction Proposal with the Investment required to accomplish the Project, presented as an “Estimated” Whole Job Cost.

    • We will present you with a List of Selections available to choose from and we will go through the effects those choices will have on the finished project, financially and aesthetically, as well as each choices future maintenance cycle and requirements.

    • We will note any Misalignment between your needs and our proposed Specifications / scope of work to see if a revision is required in order to have a mutual understanding of the scope of work to be performed and the final projects aesthetics and cost.

    (What to Expect After the 2nd Meeting)

    • After a thorough and comprehensive review of the project’s details during the 2nd meeting, we ask that you please take a minimum of 3 days to a maximum of 1 week to allow the time needed to independently review our proposal, make the selections required and note anything else of concern that may need further discussion or clarification.

    When all selections have been made, we then schedule meeting #3 and begin to finalize the projects details.

    • We finalize and Agree upon the complete List of Specifications / scope of work that White Mountain Timber Frame LLC. will perform.

    • We finalize and Agree upon all the selections you have chosen.

    • We discuss the project timeframe on the calendar.

    • We finalize any documentation necessary to facilitate permitting as required, engineering as required, or surveying as required for the project to move toward final approval.

    • By the end of this meeting we would like to have all the information finalized about the project in order to apply for any required permits and proceed with preparing the final Contract with an agreed upon and mutual understanding of the project as a whole.

    (What to Expect After the 3rd Meeting)

    Upon the Mutual Agreement and Understanding between you and White Mountain Timber Frame of the specifications / scope of work to be performed as well as the approved “Estimated” budget, White Mountain Timber Frame L.L.C. Will take this finalized and approved information and will apply for any required permitting.

    • White Mountain Timber Frame will also facilitate any Engineering or Surveying required in the permitting process, by using our approved list of specialty trade subcontractors.

    • With an approved and permitted project, we will work to assemble an accurate and build-able Contract.

    The contract will Include all of the following:

    • Finalized and updated shop drawings

    • Finalized costs of all selections made and an updated List of specifications / scope of work / budget to reflect those selections

    • A finalized and updated list of specifications/ scope of work that White Mountain Timber Frame L.L.C. Will perform

    • A finalized and updated list of Specifications/ scope of work for Specialty Trade subcontractors to perform as well as meeting with the Specialty Trade Subcontractors to discuss their portion of the work in its entirety and obtain a firm price quotation and finalize their schedule.

    • A finalized/ updated and realistic project timeline / schedule for the project to follow.

    • A finalized and updated Material List / Component List for the scope of work to be performed and obtain a firm price quotation and availability / lead times from all Material Suppliers, Sawyers, and Component Manufacturers.

    • We will Finalize the list of rental equipment and obtain a firm price quotation as well as scheduling

    We Assemble all of the above finalized information into a Construction Contract with detailed explanation on each section of the project and it’s requirements, along with a Firm Price Quotation describing the investment required to accomplish the Project presented as a Whole Job Cost.

    • White Mountain Timber Frame L.L.C. will present the projects Construction Contract to you and review it in detail at MEETING #4. When the final contract is ready for your review, we will schedule the 4th meeting

  • Meeting # 4 [goals of this meeting]

    • We will present our Construction Contract and go through it thoroughly together, discussing all aspects of the finalized project for Mutual Understanding of the scope of the project and the cost of the project as a whole

    • We will review the Finalized Shop Drawings and discuss in detail the finalized List of specifications / scope of work that White Mountain Timber Frame LLC. is to perform.

    • We will review and discuss the finalized schedule and list of specifications / scope of work for any Specialty trade subcontractors to perform.

    • We will review and discuss the entire timeline of the project on the calendar including start dates, dates of important job milestones, inspections schedules, delivery dates and a raising schedule as well as an “Estimated” completion date

    • We will review the Finalized Material list / Component List to be used in the project and we will review the Finalized equipment rental list and discuss the scheduling

    • We will discuss the three day right of rescission (enacted after the contract is signed) and discuss the process for making changes to the contract after work has begun, In the case that an alteration to the contract is wanted (this entire per – construction process is designed to AVOID this by discussing the complete project thoroughly BEFORE the contract is signed)

    (What to Expect After the 4th Meeting)

    • After a thorough and comprehensive review of the project details and the Construction Contract during meeting #4 we ask that you please take a minimum of 3 days to a maximum of 1 week to allow you the time needed to independently review and consider our Construction Contract, note anything else of concern that may need further adjustment, discussion or clarification.

    If you choose to move forward with the Construction Contract and proceed with White Mountain Timber Frame L.L.C. As your Building company, we then will schedule Meeting #5.

  • Meeting # 5 [goals of this meeting]

    • We meet to sign the Construction Contract and accept the project Deposit from you

    • When we have a signed Contract and a Deposit has been exchanged, we will observe the 3 day right of rescission and then begin to build

    (What to Expect After the 5th Meeting)

    • We will build the entire project through completion and through mutual satisfaction of the obligations described in the Construction Contract. The Contract will describe what to expect throughout the construction process.
